One of our prestigious Clients' who is a renowned International Non-Governmental Organization (INGO) based in Germany, is looking for an experienced "Programme Coordinator" to join their team in Colombo immediately.


SALARY: Rs. 130,000 + 20,000 (Allowance)


ROLES & RESPONSIBILITIES:


Responsible for planning, leading, communicating, managing and monitoring the project in Sri Lanka, under the guidance and in agreement with the Country Representative.

To ensure suitable mechanisms and processes are in place to capture qualitative and quantitative information from the field. To analyze this information to; monitor progress, assess the impact of field activities against project objectives and produce reports to targeted audience.

Project Implementation:

  • Support each partner in project implementation, including annual planning, according to agreed budget allocations to meet with project deliverables and donor targets within the agreed timeline. 
  • Produce a consolidated annual plan and budget for each project, to meet donor requirements, and monitor and report against this plan using internal processes - altering activities or negotiating budgets as necessary to ensure donor objectives are met to deadlines.
  • Visit the field regularly, monitor and review the progress, ensure the implementation aligned with proposed plans. 
  • Review partner financial reporting, in conjunction with activity reporting, reviewing accuracy and value for money, highlighting issues to support the Finance Manager and monitor partner budgets across the project.
  • Support partners, by making relevant links/introductions with key duty bearers, resource personnel and beneficiaries. 
  • Plan, organize and attend review meetings (monthly, quarterly, bi-annual and annual) as appropriate/relevant with partners. Submit relevant monitoring visit report/s to Head Office, provide feedback and observations to the CR on a) quality implementation of activities, and b) progress on achieving project outcomes and donor targets.
  • Assess the capacity and skills of partner staff in planning, implementing, monitoring and reporting, support partners with providing information, coaching, or delivering/organizing training to address capacity and skills gaps at the earliest opportunity.

Documentation and Reporting: (Project support activities)

  • Introduce and train partner organizations, various reporting template and guidelines applicable to our organization and donors, and support/ensure that the reports on time to the required standards and accuracy.
  • Planning and facilitating the activities required to complete concept notes and fundraising applications to deadlines, working with colleagues, partners and resource persons to gather information and statistics and working along with the country representative to deliver high quality donor proposals to the deadlines. 
  • Writing donor reports to deadlines, ensuring high quality information is available on the impact of field activities by regularly visiting the field and coordinating with partner and project staff.  Also, responding to queries from donors on reports.
  • Document good practices, case studies and learning materials reflecting the experiences and meet the needs of the range of project stakeholders and donor requirements by regularly visiting the field to build relationships with our implementation/resource partners and beneficiaries.

Contribute to the Country of Sri Lanka team by: (General)

  • Provide support to in assessing new partner organizations to qualify for partnership.
  • Storing and managing partner and project documentation on the shared server or intranet, supporting regular flows of information between the staff. 
  • Building relationships with government, non-government, public and private sector organizations that will support our interventions/interest, representing us at various events and meetings.
  • Adhering to and encouraging good governance in all activities by following our procedures.
  • Working as a productive member of a small team in achieving our objectives, including undertaking ad hoc tasks and activities which contribute to the development of our organization and the post holder.
  • Working in a manner which promotes understanding and co-operation among diverse communities, values difference and promotes equity of treatment for all.

QUALIFICATIONS & EXPERIENCES:


  • A degree in Social Sciences.
  • Minimum 5 years of experience working in a similar role.
  • Experience working in rights-based approach programme.
  • Experience of working with a range of stakeholders to achieve project objectives, including beneficiaries, community volunteers, government staff and I/NGOs.
  • Experience of developing project ideas/proposals, LFA and budget.
  • Experience of managing project budgets and reporting on project progress.
  • Experience of working within a clear governance structure.
    Desirable:
  • Experience of working with children and persons with disabilities.
  • Experience of supporting and motivating field/implementation staff.
  • Experience of identifying gaps and designing capacity building programmes.
  • Understanding of donor context in Sri Lanka & internationally.
  • Excellent written and oral English, research, and drafting skills. (Sinhala/Tamil are advantageous)
  • Strong written and spoken communication and interpersonal skills and ability to work independently and take initiative.
  • Proficiency in Microsoft Office Suite and Microsoft Navision would be advantageous.
  • Client service orientation and excellent customer facing skills.
  • Excellent organizational, and time management skills.
  • Problem-solving attitude with an ability to multi-task.
  • Team player with proven leadership skills.
